Job Description

1. POSITIONS VACANT: Data Assistant - Telemedicine, International Not-for-Profit Organization, Patna, Bihar.

 

2. ORGANISATIONAL BACKGROUND:

 

Our client is a respected international not-for-profit, that works in public health, to improve the health of disadvantaged communities, across the globe.

3. JOB DESCRIPTION/ RESPONSIBILITIES:

 

The Data Assistant – Telemedicine (e-Sanjeevani) will support the Telemedicine Cell at SHSB with day-to-day data entry, compilation, and MIS/dashboard upkeep, along with routine office and documentation support. The role requires accurate and timely data handling across hub- and spoke-level teleconsultation records, as well as drafting of official letters, notes, and file work related to the program, in coordination with the State Program Officer– Telemedicine / Senior Program Officer. S/he will be responsible for the following work;



Key Job Responsibilities: 

 

(1) Compile, enter, and update daily/weekly/monthly teleconsultation data (hub wise, spoke -wise, and district-wise) on the e-Sanjeevani MIS/dashboard and in program trackers/registers;
(2) Maintain and regularly update databases of hubs, spokes, doctors, CHOs, and duty rosters for the Telemedicine Cell;

(3) Cross-check and validate data received from districts/hubs/spokes for completeness and accuracy, and flag discrepancies to the State Program Officer– Telemedicine;

(4) Prepare routine data summaries, charts, and MIS reports to support periodic performance reviews and reporting to state officials;

(5) Draft official letters, circulars, memos, and notings on behalf of the Telemedicine Cell for review and approval by the State Program Officer, addressed to districts, hubs, spokes, and other stakeholders;

(6) Maintain proper file work, including receipt, dispatch, and filing (physical and digital) of official letters, orders, and program correspondence, ensuring easy traceability;

(7) Support timely follow-up and tracking of pending letters, approvals, and action-taken reports across districts and hub institutions;

(8) Assist in scheduling and documentation (minutes/notes) of state-level review meetings and video conferences related to the program;

(9) Support data entry and record-keeping related to grievances and their resolution status, in coordination with the technical/IT team;

(10) Maintain confidentiality and safe custody of program records, data, and official files;

(11) Provide general administrative and documentation support to the State Program Officer - Telemedicine and the Telemedicine Cell as required;

4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:

 

Qualifications and Experience
(1) Graduate in any discipline (essential); background in computer applications, statistics, or office administration desirable;

(2) Certificate/Diploma in computer applications (e.g., DCA/PGDCA) or equivalent Desirable;

(3) Minimum 1–3 years of experience in data entry, MIS, or office/administrative support, preferably in a government health program, NHM/CPHC, or similar setting;

(4) Prior experience in drafting official letters, noting, and file management in a government or public-sector office preferred;

(5) Familiarity with the e-Sanjeevani platform or other government MIS/dashboard systems will be an added advantage;

Skills and Competencies:
(1) Proficiency in MS Office, particularly Excel (data entry, basic formulas, sorting/filtering) and Word;

(2) Good typing speed and accuracy in both English and Hindi;

(3) Ability to draft clear, correctly formatted official letters, notes, and memos as per standard government/SHSB conventions;

(4) Sound understanding of file management, dak (receipt/dispatch) handling, and record-keeping practices;

(5) Attention to detail and accuracy in data handling and documentation;

(6) Good organizational skills with the ability to manage multiple ongoing files and follow-ups;

(7) Basic understanding of NHM/CPHC and telemedicine/e-Sanjeevani program structure preferred;

(8) Effective communication skills in Hindi and English (written and verbal);

(9) Ability to work under supervision and maintain confidentiality of official records;


5. Compensation Offered: The gross remuneration budgeted for the role is INR 70,000/- for two months.

8. NATURE OF Engagement:


The selected candidate shall be engaged as a Fixed Term Employee (FTE) on the rolls of SAMS, a third-party payrolling agency, for a full-time engagement initially offered for a period of two months. The FTE is extendable based on performance and project requirements.
