EOI for Engagement of Agencies for HR Recruitment Services

The American India Foundation Trust (AIFT) seeks to engage an experienced recruitment agency to provide end-to-end recruitment and talent acquisition services for identified positions across its offices, programmes, and functions in India.

The selected agency shall support AIFT in sourcing, screening, shortlisting, interview coordination, candidate engagement, offer management, and recruitment closure, in accordance with the requirements, timelines, and service levels agreed with AIFT.

The agency shall ensure access to a relevant, qualified, and diverse pool of candidates while maintaining confidentiality, professionalism, and compliance with applicable laws and AIFT's requirements. Engagement period to start tentatively from 1st October 2026 to 30th September 2027.

Scope of Services

Understanding of Recruitment Requirements

The agency shall:

• Understand the manpower requirement, role profile, reporting structure, location, compensation range, experience requirements, and other specifications shared by AIFT.
• Seek clarification from AIFT wherever required before initiating the recruitment process.
• Develop an appropriate recruitment/search strategy based on the nature and seniority of the position.
• Maintain confidentiality of all information shared by AIFT.

Candidate Sourcing and Vacancy Posting

The agency shall undertake proactive candidate sourcing through appropriate channels, including:

• Relevant online job portals and professional networks;
• Social media and sector-specific platforms;
• Existing/internal candidate databases;
• Professional networks and referrals;
• Targeted sourcing/headhunting for senior or specialised positions; and
• Other appropriate sourcing channels.

For each shortlisted candidate, the agency shall provide a structured candidate summary containing, at minimum:

• Current/most recent designation and organisation;
• Total and relevant experience;
• Educational qualifications;
• Current and expected CTC;
• Notice period/availability;
• Current location and preferred location;
• Key strengths/relevance to the role; and
• Any other information specifically requested by AIFT.
