Scope of Work:

 

The American India Foundation Trust (AIFT) seeks to engage technology-enabled corporate petty payment service providers/platforms for managing day to day cashless transactions of AIFT. The service provider/s will facilitate and manage small-value operational payments arising from day-to-day administrative, programmatic and field-level requirements. The service provider shall support timely execution of such payments against approved requests and maintain appropriate documentation and records for reconciliation and audit purposes.

 

The engagement is intended to provide an efficient mechanism for handling petty and incidental payments as mentioned in Annexure-I while ensuring adherence to AIFT's applicable approval processes.

 

Selected Bidder/s will be offered to enter into a Service Agreement with the AIFT on below terms, Bidders are request to read the terms and quote accordingly:

  • Duration of contract shall be of 12 months with No minimum business guarantee but not beyond INR 2 Crores, extendable upon satisfactory performance.
  • The Bidder must be able to provide services during extended/odd hours when required, and must have UPI payment services to enable QR based payments with a credit limit of INR 10 lakhs. The advance may be provided to the selected agency basis the requirements which may be not more than INR 1.5 lakhs ~ INR 3 lakhs monthly (depending on the requirements on rolling basis)
  • The Bidder shall provide MIS (format to be shared upon finalization), Invoices & supporting documents on weekly basis with all the supporting documentation
  • All Payment Terms will be 100% after completion of services within 15 days of Invoice submission and supporting documents viz invoices/payment recipes etc. TDS as applicable.
  • Both the Parties may terminate the Agreement by giving prior notice of 1 (one) month.
  • For any disputes the Jurisdiction will be New Delhi.

 

Proposal Requirements – Technical & Financial:

 

The technical proposal should cover at least below areas:

 

A. Applicant eligibility requirement(s):

  1. The bidder organization should be registered as a legal entity for carrying business in India. In addition, the bidder shall have all kinds of necessary licenses and permission for work related requirements.
  2. The bidder must preferably have previous 5 year relevant experience in the area of the requirement/supply.
    1. Capability to undertake services across PAN India

 

B. Technical Requirements:

 

The bidder should provide information on overall qualifications, including:

  1. Profile of organization
  2. Past experience, clients handled and completed assignments in the same field.
    1. Services and support available post-delivery of services and Turnaround time
    2. Only for-profit entities can apply. Nonprofit entities (NGO) are not eligible to apply under this bid.

 

C.    Attachments/ Enclosures for Technical Bid:

 

Bid must be submitted in English language only and should contain the following:

  1. Covering letter with reference to all enclosures or attachments.
  2. Copy of registration documents/ certificate and most recent renewal as a legal entity.
  3. License or permission if any for doing business
  4. Copy of Authorized dealership issued by the company (if any)
  5. Copy of valid PAN
  6. Copy of valid GST Registration.
  7. Copy of MSME registration certificate (if registered)
  8. Copies of last 3 (three) years of ITR.
  9. All other documents as mentioned in this RFP document.

 

D.    Financial Bid

It is to be submitted separately as per Annexure II. No conditional price is to be quoted.
